13 - NOTICE OF COMPLETION PROJECT #195ITEM 13 COST.14- 9VESA SANYTWXYDISTRICT Memorandum To: Board of Directors .. an Independent Specia( District From: Scott Carroll, General Manage Date: July 26, 2012 Subject: Project #195 — Front Lobby Expansion Summary Expansion of the front lobby was completed on May 25, 2012, therefore, it is appropriate for the District to accept the improvements and file a notice of completion. Staff Recommendation That the Board of Directors approves the following action: 1. Accept improvements as completed and file a Notice of Completion. 2. Authorize retention payment of $7,100.25 thirty -five days after Notice of Completion is recorded. 3. Exonerate Labor and Material Bond after Notice of Completion is recorded and exonerates Faithful Performance Bond one year of Notice of Completion is recorded. Analysis Expansion of the front lobby is providing added security for staff and offering more room for members of the public to conduct business with the District. The total cost of the project was $142,855 that includes a 10% contingency. There were five change orders totaling $12,136.93, so the total actual construction cost for this project was $142,004.93, which is below the budget amount. Legal Review Not applicable Financial Review A total of $162,800 was budgeted for designs, construction and contract administration and inspection services. Total actual cost is as follows: Designs $ 11,380.00 As Built Designs of HQ Building 4,150.00 Contract Administration & Inspection 3,500.00 Construction 142,004.91 Design Reimbursements 2,621.00 Deputy Structural Inspection 432.00 IT Support for network lines relocation 5,658.00 Alarm System Relocation 421.00 Waste Hauler 310.00 TOTAL: $170,476.91 Project #195 is over budget by approximately $7,677 mainly due to unforeseen costs associated with the relocation of the computer network lines. Funding for the amount over budget will be provided by the excess funds available from other construction projects such as Project #171 Irvine Force Main Rehabilitation.
